Step 2 - Processing of KENTRADE Master Documents

Once the preshipment application letters have been processed, the next step in the import/export clearance process is the Processing of KENTRADE Master Documents, which is a permit. This step is essential for ensuring that all necessary documentation is in place for the importation of sugar and sugar by-products.

Requirements for Service:

  1. Preshipment Approval Letter – Brown Sugar:

    • A preshipment approval letter is required for the importation of brown sugar. This document verifies that the importer has received the necessary approval to bring in the sugar as per the regulatory standards set by the AFA-Sugar Directorate.

  2. Valid Import Permit – White Refined Sugar:

    • A valid import permit is required for white refined sugar. This permit ensures that the importer is authorized to bring white refined sugar into the country, complying with all legal and regulatory requirements.

  3. EAC Gazette Notice – For Duty Remission Sugar (White Refined Sugar):

    • An East African Community (EAC) Gazette Notice is needed for sugar imports that qualify for duty remission. This document serves as proof that the sugar being imported has been granted a duty waiver, reducing the importation costs under the EAC agreements.

Application Process:

  • Submission: Applications for the processing of master documents are submitted online through the KENTRADE portal at www.tfp.kenyatradenet.go.ke.
  • Review: The submitted documents are reviewed to ensure all approvals, permits, and notices are in place and valid. The AFA-Sugar Directorate, working within the KENTRADE system, verifies the accuracy and authenticity of each document to facilitate smooth importation.
  • Approval: Once reviewed and validated, the master documents are processed, allowing the importation of the sugar under the specified conditions.
